Job Description

Job Summary

The Department of State Health Services is seeking an experienced Policy and Procedure Specialist VI to lead the development and continuous improvement of policies, procedures, and job aids supporting the Public Health Electronic Health Record (PH EHR). This role is responsible for reviewing complex PH EHR workflows, improving operational efficiency, promoting standardization, identifying business needs, and collaborating with cross-functional teams to ensure consistent system use and alignment with organizational objectives. 

Essential Duties

  • Lead the development and continuous improvement of policies, procedures, and job aids for the Public Health Electronic Health Record (PH EHR).
  • Plan and prioritize reviews of complex PH EHR workflows to improve efficiency and standardization.
  • Identify and prioritize PH EHR business needs to promote consistent system adoption.
  • Collaborate with cross-functional teams to ensure standardized application of policies, procedures, and system guidance.
  • Develop and revise operational documentation and guidance materials.
  • Translate regulatory requirements into clear operational procedures.
  • Align training materials with updated policies and procedures.
  • Monitor compliance with applicable laws, regulations, policies, and organizational standards.
  • Coordinate activities across multiple organizational levels while managing multiple assignments and maintaining documentation. 

Required Knowledge, Skills & Abilities

Knowledge

  • State and federal regulations applicable to health information systems.
  • Policy and procedure development frameworks, including documentation standards and version control. 

Skills

  • Developing, analyzing, and revising policies, procedures, and job aids.
  • Interpreting regulations and translating them into operational guidance.
  • Collaborating with stakeholders across multiple departments.
  • Aligning training materials with updated policies and procedures.
  • Drafting policies, guidance documents, and training content.
  • Leading and facilitating cross-functional collaboration. 

Abilities

  • Ensure and monitor compliance with applicable laws, policies, and standards.
  • Provide guidance and direction to stakeholders.
  • Coordinate work across multiple organizational levels.
  • Manage documentation in a dynamic environment.
  • Prioritize and manage multiple assignments with strong attention to detail.
  • Communicate effectively with both technical and non-technical audiences.
