Job Description

Job Functions
  1. Organize, index, maintain, and retrieve coal mining hardcopy files.
  2. Read, comprehend, and follow mine history for accurate and detailed record keeping.
  3. Name, organize, index, file digital and hard copies.
  4. Research, log and track mine history using Excel spreadsheets, MS Word, and correspondence tracking systems.
  5. Prepare, organize, scan, and count pages to be sent to Neubus to digitize
  6. Prepare and organize files consisting of letter, legal and large format paper maps for digital archiving.
  7. Prepare documents in accordance with vendors procedures for digital archiving.
  8. Remove staples, repair torn and folded documents, replace tab inserts, and mount old photos for digital archiving.
  9. Create and maintain documents in MS Word, Excel, Outlook and OneDrive and other internal software applications.
  10. Research records to ensure application and correspondence files are complete and indexed properly in preparation for digital scanning and archiving.
  11. Review digital files stored online against hard copies for quality assurance.
  12. Research documents on microfiche.
  13. Performs additional related essential tasks as required to maintain production workflow.
  14. Other duties as assigned.
Minimum Qualifications
Graduation from a standard senior high school or equivalent.     Experience in the operation of digital imaging equipment and software, scanners. Must be able to work 8AM-5PM, Monday through Friday, from the Austin office location.
 
 
 
Knowledge, Skills, and Abilities
  1. Desire to take initiative.
  2. Knowledge of office practices and procedures, including the use of general office equipment (copier, fax, printer, scanner.
  3. Proficient skill in utilizing Microsoft Office (Excel and MS Word) and other Windows-based PC software applications.
  4. Skill in basic arithmetic and reading comprehension.
  5. Skill in sorting, organizing, and prioritizing workload.
  6. Skill in communicating effectively, both orally and in writing.
  7. Must be able to work as a team, and independently.
  8. Must be able to accept instruction from a Team Lead and/or manager.
  9. Must be able to push, pull, bend, reach, lift and carry files/boxes up to fifty (50) pounds.
  10. Must be able to stand for long periods of time making copies.
  11. Must be able to sit for long periods of time.
  12. Ability to work on tasks requiring meticulous attention to detail and maintain a high level of accuracy. 
  13. Ability to maintain professional protocol and demeanor when assisting internal and external clients.
  14. Ability to work under pressure and complete work within established deadlines.
 
Preferred Qualifications
  1. Knowledge of state regulatory or business office practices and administrative procedures.
