Document Services Technician III

Job description:
We are seeking a highly skilled Document Services Technician III to join one of our state agencies in Austin, TX. This role involves managing complex document processing tasks, maintaining accurate data records, and supporting various clerical functions essential to organizational operations. The ideal candidate will possess advanced office experience, exceptional organizational skills, and proficiency in data management tools. This position plays a vital role in ensuring efficient document handling, data accuracy, and seamless information flow across departments.
Job Duties:
1. Agency Records and Document Digitization: Supports the digitization of agency records and documents. Reviews, sorts, organizes, and prepares documents for imaging into an electronic format; determines the correct format and proper equipment settings to produce clear, high-quality images.
2. Quality Control Process: Performs quality control of digitization by examining finished jobs to ensure adherence to standards. Responsibilities include supporting procedures, methods, and quality control for all job orders; maintaining production logs, preparing reports, and ordering supplies; and troubleshooting equipment problems and initiating corrective action
3. Records Management: Assist with updates to agency records and file management processes, as well as implementation of new records protocols.
4. Agency Copy Center Support: Support in the Copy Center Coordinator in the daily functions of the Agency Copy Center production to include all aspects of print production and poster and signage printing. Responsibilities include supporting procedures, methods, and quality control for all job orders; maintaining production logs, preparing reports, and ordering supplies; and troubleshooting equipment problems and initiating corrective action.
5*. Strategic Operational Support:* Provide strategic time-bound operational support to the Senior Division Director, Agency Operations, Assistant Director, Agency Operations, and the Copy Center Coordinator to increase staff capacity for specific initiatives as needed. Support initiatives to serve agency staff, including assisting with developing and implementing user-centered business processes and resources to enhance and support internal communication in a hybrid work environment. Assist with updates to internal division records and file management processes, as well as implementation of new records protocols for division resources.
Qualifications:
- Must be reliable and can work onsite assigned hours 8:00 am - 5:00 pm, Monday – Friday; no modification to these standard work hours due to agency and division needs.
- Experience operating bindery, duplicating, and reproduction equipment and using a computer and applicable software.
- Knowledge of the operation and maintenance of digital imaging equipment and scanners; of types, varieties, and uses of papers, inks, chemicals, developers, and fixers used in duplicating and reproduction equipment.
- Knowledge of the operation and adjustment of duplicating and bindery equipment, as well as of computer operations and communication networks.
- Ability to understand and follow directions for scanners, digital imaging equipment, and their software and to communicate effectively.
- Ability to adapt to unexpected tasks and work in an environment requiring short turnaround times and possibly working outside normal working hours.
