Job Duties as a Receptionist
Agency Switchboard Management: Communicate with the public through a fast-paced, high volume agency switchboard system. Provide general information and transfer calls to the appropriate division leveraging internal and external resources. Identify and escalate issues as well as present solutions to supervisor as appropriate.
Agency Support: Create and maintain quick reference materials to troubleshoot, assess the caller s needs, and appropriately transfer them. Maintain current knowledge of agency website and staffing pattern and maintain the electronic agency-wide conference room reservations system. Utilizes agencies help desk ticket system to provide parking and badge application support for TEA internal staff.
Visitor Reception: Receive visitors to the agency in a prompt and professional manner and ensure they are appropriately checked in. Receive deliveries such as bids and grant applications that require a time-sensitive date stamp and ensure they get to the appropriate department.
Division-wide Support: Cross-train with colleagues in the Agency Services Team to ensure seamless customer service both within and external to the agency by providing administrative support as needed such as word processing, creating spreadsheets, receiving faxes, and processing help desk tickets. Assists as a backup for copy center functions.
Required Skills/Deal Breakers
Knowledge of standard office practices and comfort in answering a multi-line telephone system
Excellent verbal and written communication skills
Must be reliable and can work assigned hours 8:00 am - 5:00 pm, Monday Friday; no modification to these standard work hours due to agency and division needs.
Ability to manage and prioritize multiple issues simultaneously and through interruptions.
Self-motivated to acquire necessary knowledge, skills and expertise to be successful
Be flexible and adaptable to change
Skill in effective and appropriate use of technology, including Microsoft Office Suite (Word, Power Point, Excel, and Outlook)
Ability to exhibit a positive attitude and professional demeanor to support colleagues in achieving division and agency goals
Dependable, punctual, flexible and great customer service skills are a must if not, it would be a deal breaker.
