GSG is looking for an Administrative Assistant for a contract position
This is an in-office position. Candidates MUST be able to report to the office in South Austin TX
Monday through Friday 8 AM- 5 PM
$25.91 an hour weekly pay
JOB SUMMARY
Administrative and technical assistance work, manages the day-to-day activities of the executive office and provides responsive customer service to the public, the commission, government officials and agency staff. Works under limited supervision with moderate latitude for the use of initiative, discretion, and independent judgment.
ESSENTIAL FUNCTIONS
- Supports administrative aspects of the work of the executive office, including providing administrative support (minor data entry and bookkeeping) for the agency's support foundation, and the agency's Human Resource division.
- Answers inquiries from the public received in-person, by phone, and through mail and email
- Serves as liaison to the commission performing all administrative functions, including compiling meeting materials and coordinating travel.
- Performs administrative support work for the agency General Counsel, including assisting with administrative rule and open meeting filings and Public Information Act requests.
- Prepares correspondence and writes and edits internal and external communications
- Attends work regularly and in accordance with agency policies and procedures
- Complies with all applicable agency policies and procedures, including safety and standards of conduct
MINIMUM QUALIFICATIONS
- Bachelor s degree. Substitution: experience providing executive assistant or legal assistant/paralegal experience can substitute for a degree on a year for year basis up to four years.
- Three years full time experience providing advanced professional administrative support to a manager, program director or executive level director or legal assistant/paralegal experience
- Three years experience using Microsoft office applications
- Two years full-time public contact experience
- One year experience working with automated systems including data entry
- Poise and ability to tactfully deal with the public and elected officials, to maintain effective working relationships, and to handle stressful situations with tact and diplomacy
- Knowledge of business English, composition, and spelling
- Knowledge of office practices and administrative procedures
- Skill in the use of standard office equipment and software
- Ability to plan and effectively prioritize own work in order to meet mandatory deadlines
- Ability to process multiple assignments accurately and simultaneously
- Ability to write in a clear, concise, and organized manner for the intended audience.
- Ability to work in a team environment
- Ability to maintain confidentiality
- Ability to lift boxes weighing up to 35 lbs.
- Meticulous organization and planning/coordinating skills
